This policy describes intended data practices for InvoiceSnap AI. Actual handling depends on the deployed app's configuration and the services enabled. Please review the relevant service documentation linked below.

1. Introduction

Welcome to InvoiceSnap AI (“we,” “our,” or “us”). InvoiceSnap AI is an expense management application designed to help individuals, freelancers, and small businesses digitize receipts, extract invoice information, organize expenses, and understand their spending.

This Privacy Policy explains how we collect, use, store, share, and protect information when you access or use InvoiceSnap AI.

Where applicable law requires consent for specific processing activities, we will request that consent separately.

2. Information We Collect

2.1 Account information

When you create an account or sign in, we may process your email address, account identifier, authentication and session information, and account preferences. We use Supabase Authentication to manage user authentication.

2.2 Receipts, invoices, and expense information

When you upload or photograph a receipt or invoice, we may process:

  • Merchant or business name, transaction date, and invoice date
  • Subtotal, tax, total amount, and currency
  • Payment method and invoice or receipt number
  • Purchased items, line-item details, and expense categories
  • Receipt images and document contents

Supported upload formats may include JPG, PNG, WEBP, and PDF. Documents can contain personal, financial, or business information. Please upload only information necessary to use the service.

2.3 Saved expenses and user queries

We process expense records you save, edits you make, search and filtering preferences, export requests, and questions you submit to the “Ask My Expenses” feature. To answer a question, the app may process the relevant expense information needed to generate a response.

2.4 Technical and usage information

Depending on the deployed configuration, we or our service providers may process browser and device information, IP address and request metadata, authentication and security logs, error reports, performance information, and basic feature usage information.

3. How We Use Your Information

We use information as needed to:

  • Create and manage accounts and authenticate users.
  • Upload and process receipts and invoices.
  • Extract invoice details and categorize expenses.
  • Display dashboards, spending summaries, and expense history.
  • Detect potentially duplicate receipts.
  • Generate CSV and PDF exports.
  • Answer questions about saved expenses.
  • Provide temporary demonstrations of application features.
  • Prevent unauthorized access, fraud, and abuse.
  • Diagnose errors, maintain performance, and meet applicable legal obligations.

We do not intend to use private expense records for unrelated purposes.

4. Third-Party Services and Data Processing

4.1 Supabase

We use Supabase for authentication, database services, and cloud file storage. Information handled through Supabase may include account identifiers, email addresses, saved expense records, extracted invoice details, and uploaded receipt files.

Supabase processes information under its applicable service terms, privacy documentation, and our project configuration. Learn more in the Supabase Privacy Policy.

4.2 Groq AI

We use Groq AI services for configured AI-powered features, such as extracting receipt information and responding to expense-related questions. Depending on the feature, information sent to Groq may include receipt images, extracted text, expense details, or user questions.

We aim to send only the information needed for the requested operation. We do not intend to send a user's entire expense history when only selected information is needed.

Groq's handling of submitted information is governed by its applicable terms, privacy documentation, and data-retention settings. Retention can depend on the service and configuration. Review the Groq Privacy Policy and Groq data-retention documentation.

4.3 Other service providers

Additional providers may process information if required by the deployed application, including website hosting, email delivery, security, or performance-monitoring services. We will update this policy if material changes to our service providers or data-processing practices require an update.

5. How We Share Information

We do not sell personal information as part of our intended business practices. We may disclose information in the following circumstances:

  • Service delivery: To Supabase, Groq, and other providers that support requested application features.
  • Legal requirements: When disclosure is required by applicable law or valid legal process.
  • Security: When reasonably necessary to protect users, investigate suspected misuse, or secure the application.
  • Business transfers: In connection with a merger, acquisition, or transfer of the service, subject to applicable law and appropriate safeguards.
  • With your authorization: When you direct us to share information or otherwise authorize disclosure.

We do not intend to make users' private receipts or expense records publicly available.

6. Data Storage and Security

InvoiceSnap AI uses Supabase for its database, authentication, and cloud-storage infrastructure. We take reasonable steps to protect information from unauthorized access, loss, alteration, and disclosure. Depending on the implementation, these steps may include secure connections, access restrictions, authentication controls, and appropriate database and storage policies.

No internet service or electronic storage system can be guaranteed to be completely secure. Users should keep login credentials confidential and contact us if they suspect unauthorized account access.

Security also depends on the application's actual database permissions, storage access settings, server-side functions, and API key management.

7. Data Retention and Deletion

We retain personal information for as long as reasonably necessary to provide the service, maintain accounts, meet applicable legal obligations, resolve disputes, and protect the application.

Saved expenses and uploaded receipts may remain stored until you delete them, request deletion, or an applicable retention policy requires their removal. To request account and associated data deletion, email invoicesnapai@gmail.com.

Where deletion is supported, we will take reasonable steps to delete relevant information from systems we control, subject to applicable legal requirements and legitimate security needs. Backups and information retained by service providers may persist for a limited period under their retention procedures. Information previously sent to third-party AI services may be subject to those providers' own retention and deletion rules.

8. Temporary Demo Mode

InvoiceSnap AI may offer a demo mode that allows visitors to explore features without creating a full account. Demo information is intended for testing and demonstration purposes and may be reset or deleted when the demonstration ends, depending on the deployed implementation.

Do not upload real receipts, confidential business documents, or sensitive personal information in demo mode unless the application's displayed information explains how those documents are handled. We will not describe demo information as automatically deleted unless the implementation actually enforces that behavior.

9. AI Accuracy and Automated Processing

InvoiceSnap AI uses AI-powered tools to help extract receipt information, categorize expenses, and answer questions about stored records. AI-generated results may contain errors, omissions, or incorrect classifications.

Review extracted amounts, dates, tax information, currencies, and other details before saving or relying on them. AI responses are intended to assist with expense organization and understanding; they are not professional accounting, tax, legal, or financial advice.

10. Cookies and Similar Technologies

InvoiceSnap AI and its service providers may use cookies or similar technologies to maintain login sessions, support security, remember preferences, or understand application performance.

If analytics or other non-essential tracking technologies are implemented, we will provide notices and consent mechanisms where required by applicable law. You can manage cookies through your browser settings, although disabling certain cookies may affect functionality.

11. Your Privacy Rights

Depending on your location and applicable law, you may have the right to:

  • Request access to personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of personal information.
  • Request a copy of certain information you provided.
  • Object to or request restrictions on certain processing.
  • Withdraw consent where processing is based on consent.
  • Submit a privacy complaint to a relevant data protection authority.

To submit a privacy request, email invoicesnapai@gmail.com. We may need to verify your identity before completing certain requests and will handle requests in accordance with applicable law.

12. International Data Transfers

Your information may be processed or stored in countries outside your country of residence. Supabase operates in a region selected for the project, while other providers may process information in different locations. International processing may occur when you use InvoiceSnap AI.

Where required, we will take appropriate steps to ensure that international transfers comply with applicable legal requirements.

13. Children's Privacy

InvoiceSnap AI is not intended for children below the minimum age permitted to use the service under applicable law. We do not knowingly collect personal information from children in violation of applicable law. If you believe a child has provided information improperly, contact us so we can review the matter and take appropriate action.

14. Third-Party Websites

Our website may link to third-party services or documentation. We are not responsible for the privacy practices of external websites that we do not operate. We encourage you to review their policies before providing personal information to those services.

15. Changes to This Privacy Policy

We may update this Privacy Policy when our application, service providers, or legal obligations change. When changes are made, we will update the “Last Updated” date at the top of this page. Where required by law, we will provide additional notice or obtain consent before implementing material changes.
